Business automation

Take the repeated admin off your team

Most admin that eats a week is the same job: ask someone for something by a date, chase them, and tell a person when it doesn’t arrive. For accountancy practices we run three fixed jobs. For a small number of other UK businesses with the same pattern we may take on a job after the practices are live; tell us about it and we’ll say honestly whether and when.

Typical jobs

Work that follows the same pattern every time

If your team does it every week, the same way, it’s usually a good candidate.

Collecting what you’re owed

Documents, forms, signatures or information from customers and suppliers, asked for by a date and chased politely until it arrives.

Onboarding customers

Contracts, details, checks and set-up steps worked through in order, with one view of who is stuck where.

Sorting a shared inbox

Incoming emails and attachments matched to the right customer or job and filed, with unclear ones sent to a person.

Joining up your systems

Your CRM, accounting software, forms and spreadsheets passing information to each other instead of being retyped.

Reports that arrive on their own

The weekly list or figures you currently pull together by hand, built from the systems that already hold the data.

Approvals and exceptions

Routine cases handled by rules, and anything unusual put in front of the right person with the context they need.

How we build it

Automation you can check, not a black box

The same principles we use with accountancy practices, where getting it wrong isn’t an option.

  • Rules decide, AI assists

Who is contacted, when and what happens next are fixed rules you can read. AI drafts and reads; it doesn’t decide.

  • A person approves

Outgoing messages wait for approval until you’re confident, and anything unclear goes to a person.

  • Every action logged

A record of what happened, when and why, that you can check at any time.

  • Around your systems

Your mailbox, your software, your folders. Your team doesn’t have to learn a new platform.

  • Your data handled properly

A data processing agreement, UK hosting where your data needs it, and developers who work on test data only.

Questions

Before you get in touch

Do we need to replace our current software?

No. We build around the systems you already use, and only suggest a change when something genuinely can’t be connected.

Is this AI?

Sometimes. AI is useful for reading messages and drafting replies, so we use it there, with a person approving. Deciding who gets contacted and when is done by fixed rules you can read, not by an AI model.

Who owns what you build?

We agree ownership in writing before work starts. What you pay us to build for you is yours.

Tell us the job your team repeats every week

A short description is enough. We’ll reply to say whether it’s a good fit and when we could start. If it isn’t, we’ll say so.

  1. You suggest a time
  2. Thirty minutes on a recent week
  3. A one-page map within 48 hours
