How it works

One job at a time, set up around how you already work

We don’t ask you to adopt a new platform. We map your week, take one job off your team, and prove it works before suggesting anything else.

  1. 1

We map a real week with you

A 30-minute conversation at your office, nearby or on video. You walk us through a recent week: what came in, who chased what, and where things waited. Within 48 hours you get a one-page map of it. That map is useful on its own, whether or not you go further. There’s no pitch and no demo in this first conversation.

  2. 2

You pick the one step that costs most

A week or so later we check the map with you on a 30-minute call. You correct it, and you choose the job to take off your team first: chasing records, onboarding new clients or sorting incoming documents. If you want that step taken off your team, we show you what it looks like with the work removed, in five minutes, on made-up data shaped like your practice. Then you get one page in writing: what it will do, what it won’t, what we need from you, what “working” will mean, and the price. Nothing is built until you’ve signed that page and the data processing agreement.

  3. 3

We set it up around your mailbox and ledger

We sign a data processing agreement with you first. Then we connect to your existing mailbox, load the clients and deadlines you choose, and write the messages in your firm’s tone for you to approve. Your team keeps working as it does now.

What we need from you: your client list with contact details, the deadlines you want chased, the reminder emails you send today, a mailbox to send from, and, for some jobs, read-only access to your accounting software. That’s usually an afternoon’s work on your side.

  4. 4

It runs, with a person in charge

For the first two weeks, and for as long as you like after that, every outgoing message waits for a named person at your firm to approve it. Anything unclear goes to a review list. Every Friday you get one email with who’s late, what arrived and what needs you.

What you get

Every job comes with the same six things

A one-page guide for your staff

What the system does, what lands in their review list, and who to ask.

Today and the Friday email

One page with what needs you, who’s late and what arrived, and the same list by email every Friday.

A full record of every action

Who was asked for what, when, who approved it, and what came back.

30 days of fixes

Anything that isn’t right in the first 30 days after go-live is fixed as part of the set-up.

Support within one working day

By email or WhatsApp, from the person who set your system up, with the engineers on call.

A written four-week scorecard

After the first four weeks: what was chased, what arrived on time, and what changed.

The rules

Where the AI is used, and where it isn’t

The AI does

  • Reads a client’s reply and says what it contains
  • Drafts reminders in your firm’s tone
  • Suggests which client a document belongs to

Fixed rules decide

  • Who is contacted, and when
  • When a case goes to a named person
  • When chasing stops

Never: choosing who to contact, messaging a client you haven’t put on the list, changing anything in your accounting software, sending anything to HMRC, giving tax advice or moving money.
