People we contact about Forenax

What we hold and where it came from

Your name, role, firm, work email and work phone number, taken from Companies House, your firm’s website, or an introduction from someone who knows you. We also keep notes of our contact with you. If we meet and you agree, we record the conversation to write up a one-page map for you.

Why, and our lawful basis

To ask whether you’d talk to us about how your practice works, and, if you’re interested, to tell you about Forenax’s services. Our lawful basis is legitimate interests: understanding how small practices work so that we build something useful to them.

Who sees it

Only Forenax. Our email provider and the private tools we keep notes in process it for us under contract. We never sell or share it.

How long we keep it

We delete your details 12 months after our last contact, unless you become a client. Recordings are deleted once the map is written. If you ask us not to contact you, we keep only your name, firm and the date, so that we don’t contact you again by mistake.

People who contact us

When you use a form on this website, email or call us, we receive what you send: usually your name, email address, phone number, firm or company and your message. We use it to reply, to arrange anything you’ve asked for, and to keep a record of our conversation. Our lawful basis is legitimate interests: responding to your enquiry and, where you asked about our services, taking steps towards an agreement with you.

Each form message is saved in a database run for us by Cloudflare, which hosts this website, with its data kept in the European Union, and is then delivered to our inbox. With it we keep the pages of this site you read on that visit and how you arrived (for example, from a search engine or a link in our email), so that our reply can pick up where you were. If you used the self-check, we keep your answers with your message.

We keep enquiries for 12 months after our last contact, unless you become a client, in which case our contract and its retention terms apply.

Visitors to this website

This website does not use cookies for advertising or tracking, and doesn’t follow you from one visit to the next. We count visits to learn which pages are useful and where people get stuck, in two ways:

  • Cloudflare Web Analytics counts page views and page speed without cookies and without building a profile of you.
  • Our own counts record, for each page view, the page, the site you came from, any campaign tag in the link, the country (from your connection) and whether you’re on a phone, tablet or computer. We also count clicks on buttons and contact links, how far a page was read, forms started and sent, and self-check answers. We don’t store your IP address, set a cookie or give you an identifier, so these counts can’t be linked back to you. We delete them after 180 days.

While you browse, your browser keeps a list of the pages you’ve read on this visit, in its session storage, which is cleared when you close the tab. It only reaches us if you send a form, as described above. A note there also stops our “next step” card from appearing more than once.

The law allows this kind of counting without asking first, because it is only used to improve the website and you can object. If your browser sends a Global Privacy Control or Do Not Track signal, we don’t count your visit at all. You can also switch it off here:

Visit counting is on for this browser.

Our forms are protected from spam by Cloudflare Turnstile. When you use a form, Turnstile processes technical information about your browser and connection, such as your IP address, to tell people from bots. Cloudflare, like any web host, also keeps short-lived server logs to run and secure the site.

Emails we send you

When you send a form, we may email you a confirmation, and if you asked for your self-check summary, we send it. These are replies to your request. We send the two short follow-up notes after the self-check only if you ticked the box, and every note has a link that stops them at once. These emails are sent for us by Cloudflare.

Practices’ clients

When we work for an accountancy practice, we process information about the practice’s clients only on the practice’s instructions, as its processor, under a written data processing agreement. The practice’s own privacy notice explains how it uses its clients’ information. If you are a client of a practice we work with and have a question, contact the practice, or email us and we will pass your request to them.

Your rights

You can object to our contacting you at any time, and we will stop. You can also ask for a copy of what we hold, or ask us to correct or delete it, by emailing info@forenax.com.

If you’re unhappy with how we’ve handled your details, you can complain to the Information Commissioner’s Office atico.org.uk or on 0303 123 1113.
