For accountancy practices
The chasing and sorting, taken off your team
Forenax takes the chasing and sorting off your team: client records, onboarding and incoming documents, run on your existing mailbox and software.
Three jobs
Each one is a finished job, set up and run for you
Every job comes with a one-page guide for your staff, the Today page and the Friday email, a full record of every action, 30 days of fixing anything that isn’t right, support within one working day, and a written scorecard after the first four weeks.
Client chasing
Records Chaser
Clients get dated, staged reminders in your firm’s name, and you get one list of who’s late every Friday.
Client onboarding
Onboarding Desk
A new client goes from yes to live without you chasing ID, the engagement letter and authorisations.
Document sorting
Intake Sorter
Arriving documents are filed to the right client, with a list of what’s still missing.
How the AI is used
The AI drafts. Fixed rules decide. Your team approves.
AI is used only where judgement helps: reading a client’s reply, wording a reminder in your firm’s tone, and suggesting which client a document belongs to.
Fixed rules decide who is contacted, when, and when a case goes to a person. The AI never chooses who to contact, never sends anything to HMRC and never moves money. Anything it isn’t sure about goes to a review list for your team instead of being guessed.
Client data
How your clients’ data is handled
- Kept in the UK
- Client data is hosted, stored and backed up in the UK, and the AI model runs in Amazon Web Services’ London region.
- A person approves
- The AI drafts and sorts. A named person at your firm approves every message for the first two weeks, and for as long after that as you like.
- Every action logged
- What was drafted, who approved it, what was sent and what came back, with times.
- A signed agreement
- We sign a data processing agreement with you before any client data is touched.
- Developers never see it
- Our developers build and test on made-up data, never on your clients’ records.
- Not used for training
- Your clients’ data is never used to train an AI model.
Who we are
A small Manchester company that builds what it runs
Forenax builds and runs its own automation system for accountancy practices. The people who run Forenax set it up for you and look after it, with the engineers who built it on call for anything that needs code. No call centre, and no reseller in the middle.
We work with a small number of practices at a time, starting in Greater Manchester, and we’d rather do one job well for you than sell you a platform.

Questions
What practices ask first
Do we have to change our practice software?
No. Forenax works around the mailbox and accounting software you already use. It runs alongside whatever you use for the accounts themselves, whether that’s Xero, QuickBooks, Sage, FreeAgent, VT or IRIS, and it never changes anything in it. Reminders go out from your own Microsoft 365 or Google Workspace mailbox.
Will clients know a system is involved?
Clients get messages in your firm’s name and tone, from your address, approved by someone at your firm. We don’t hide that the practice uses tools to keep on top of deadlines, and we don’t pretend messages are handwritten either.
Does Forenax file anything with HMRC?
No. Forenax never submits returns or updates, never gives tax advice and never moves money. It gets the records in and sorted so your team can do the accountancy.
Who is responsible for anti-money-laundering checks?
Your practice, as now. Forenax collects the identity documents and keeps a record of who was asked for what and when. Your team reviews and verifies them.
How much does it cost?
We agree the price after we’ve mapped your week together, because it depends on which job you pick. It’s a fixed set-up fee and a monthly fee, priced against the staff time the job replaces, not per user or per client. You’ll have the figure in writing before you decide anything.
What size of practice is this for?
Small and medium practices, roughly 2 to 25 staff, where the owner still sees the chasing problem first-hand. We are starting with practices in Greater Manchester.
