Intake Sorter · Document sorting

Every document filed to the right client

Intake Sorter reads what arrives in your shared inbox, works out which client it belongs to, files it, and keeps a running list of what’s still missing. Like the other jobs, it’s set up only once your map shows sorting is the step that costs most.

What it does

Arriving documents are filed to the right client, with a list of what’s still missing.

01

Reads what arrives

Attachments and photos sent to your shared inbox, picked up as they come in instead of when someone has time.

02

Matches them to a client

Clear matches, such as a known sender, are filed automatically. Anything uncertain goes to a person with a suggestion.

03

Files them where you work

Into a folder per client, named consistently, in a structure you agree.

04

Tracks what’s missing

Compared against what each client owes you this period, so the Friday list shows the gaps.

Sample data

Client data

How your clients’ data is handled

The same safeguards apply to every job. Read the detail.

Kept in the UK
Client data is hosted, stored and backed up in the UK, and the AI model runs in Amazon Web Services’ London region.
A person approves
The AI drafts and sorts. A named person at your firm approves every message for the first two weeks, and for as long after that as you like.
Every action logged
What was drafted, who approved it, what was sent and what came back, with times.
A signed agreement
We sign a data processing agreement with you before any client data is touched.

Questions

Document sorting: common questions

Where does it file documents?

Into a folder per client that we agree with you at set-up, with consistent names, so your team finds everything in one place. Filing straight into your own document storage depends on what you use; we’ll tell you plainly at set-up what we can and can’t connect to.

What if it can’t tell which client a document is for?

It doesn’t guess. A document is filed automatically only when the match is clear, for example a known sender address. Anything else goes to your review list with a suggestion and the reason for it, and a person decides.

Which channels can it watch?

Your shared email inbox to start with. Shared folders such as Dropbox, and WhatsApp if you opt in, can be added after that.

Does it do the bookkeeping?

No. Forenax gets documents to the right client and tells you what’s missing. Reading receipts into your ledger stays with the tools and people you use for that now.
